Why identification is the whole problem
Medical imaging parts are model-specific, revision-specific and often site-specific. The same visual component can carry three different part numbers across three hardware revisions, and only one will work. A supplier who quotes from a description alone is guessing, and a guessed part is a return, a delay and a second freight bill.
1. Where to find the identifying information
- The part itself — a printed or etched label, usually on the housing, the connector end, or the underside. On boards it is often silkscreened on the PCB.
- The system label — on the gantry or main cabinet, giving manufacturer, model, serial number and year. This anchors every subsequent lookup.
- The system's own software — service or configuration screens frequently list installed hardware with part numbers and revisions.
- Service reports — a previous engineer's report often names the exact part that was fitted.
- The original packaging, if it still exists.
2. Reading part numbers
Each manufacturer uses its own scheme, and the same physical item can appear under a material number, an order number and a service exchange number. Record everything printed on the label rather than selecting the number that looks most likely — including revision letters, suffixes and any handwritten annotation.
Distinguish carefully between:
- Part / material number — identifies the item
- Revision or version — determines compatibility with a given system release
- Serial number — identifies the individual unit, needed for exchange and warranty
3. What to photograph
Photographs resolve more enquiries than descriptions. Take, in good light:
- The complete part against a neutral background, showing overall shape and scale
- A sharp, straight-on close-up of the label — legible, not at an angle
- The connector or interface end
- Any visible damage, corrosion, cracked housing or bent pins
- The system label on the gantry or cabinet
- For boards: the whole board flat, plus close-ups of the silkscreened part number and revision
Wipe dust off the label before photographing, and avoid flash directly on a glossy label — angle the light instead.
4. Modality-specific notes
MRI coils
Record the coil name, channel count, part number and the software release the system runs — coil compatibility is tied to the platform version. Photograph the connector, the cable where it enters the housing (a common failure point) and any cracks in the shell. Note whether the coil is under a service contract, as some contracts restrict third-party replacements.
CT X-ray tubes
Record the tube type designation, the part number, the accumulated exposure figure if available, and whether the tube is original, OEM replacement, refurbished or third-party. Tubes are frequently sold on an exchange basis, so the core — the old tube — usually has value and must be returned; confirm the core terms before ordering.
Detectors and DAS
Detector modules and data acquisition components are revision-critical. Record the exact module designation and revision, and note any calibration files supplied with the original. Replacing a detector module normally requires recalibration.
Electronic boards
Photograph the silkscreen part number and revision, and note any jumpers, DIP switch settings or firmware version markings. A board with the correct part number but the wrong firmware revision can still fail to work.
Workstations, consoles and monitors
Record the computer model, the imaging software version and any licence dongle or key present. Medical-grade monitors have specific calibration requirements — record the model and the DICOM calibration status.
5. What to send with a spare-part enquiry
A complete enquiry contains:
- Manufacturer, model and system serial number
- Software release running on the system
- Part name, part number and revision as printed
- Quantity required
- Photographs as listed above
- The fault symptom and any error codes displayed
- Whether new, refurbished or tested used is acceptable
- Urgency, destination country and delivery address
- Whether an exchange or core return is possible
The fault symptom matters more than buyers expect. A described symptom sometimes reveals that the suspected part is not the failing one, which saves the cost of a part that would not have fixed anything.
6. New, refurbished or tested used
